Version 1.0. In force from the date you accept them.
1. Who we are
Acreline is provided by Acreline Ltd, a company registered in England
and Wales, company number 17308939, registered office
2 Centrifuge Way, Farnborough GU14 6GF.
In these terms "we", "us" and "Acreline" mean that company.
You can reach us at hello@acreline.co.uk. We are registered with
the Information Commission, the UK's data protection regulator, under number 00014707904.
2. Who these terms are for
Acreline is software for landscaping, groundworks and similar businesses. By opening an account you confirm
that you are acting for purposes relating to your trade, business, craft or profession, and that you
are 18 or over.
If, despite that, you are in fact a consumer under the Consumer Rights Act 2015, nothing in these terms
removes or limits the statutory rights you have as a consumer, and where these terms and those rights
conflict, those rights win.
3. Your account
You are responsible for your account, for the accounts you create for your staff, and for keeping the
passwords to them safe. If you think someone else has got into your account, tell us.
You decide what each person on your account can see. Roles that carry no money see the job, the drawings and
the delivery list, and never a rate, a margin or a total. Setting a person's role correctly is your
responsibility, not ours.
4. What you get free
You can use Acreline free, with no card, no trial period and no expiry, for the work itself. That includes
the site tools, plan uploads, surveys, levels, volumes, jobs, photos, notes, the day's record, your crew with
their own logins, and working with no signal.
We are not going to withdraw the free tier from under you. If we ever change what it covers, existing
accounts keep what they have for at least twelve months from the day we tell them.
5. What you pay for
Doing the work is free. You pay to win the work and to cost it. The line falls where something
leaves your phone and goes to a client.
Free, on up to two live jobs at a time: the site tools, plan uploads, measuring, surveys, levels, volumes
and muck away, your build-ups and the price they produce on screen, jobs, photos, notes, the day's record,
your crew with their own logins, working with no signal, and exporting your own records at any time.
Paid: running more than two jobs at once, sending a quote to a client as a branded PDF, supplier orders and
delivery lists, live job costing, variations, invoices, margins, and reports.
Free trial
A paid plan is offered with a fourteen day free trial, which needs a card. We will tell you before
the trial ends and before anything is charged. Cancel within the fourteen days and you are not charged.
If you choose not to continue, the free parts carry on working and nothing you have made is deleted.
6. Paying
The price is £45 per month, or £450 per year, for your whole business, whatever number of
people you have on the account. There is no per user charge, no joining fee and no onboarding fee.
Founding members
Early businesses pay £25 per month and keep that price for as long as the subscription runs
without a break. If it lapses, the price returns to the one then current, and the place returns to the pool
for another business. The offer is open while fewer than fifty businesses are holding a founding
subscription, and the number of places left is shown before you subscribe.
We are not registered for VAT, so no VAT is added. If we become registered we will tell you at least 30 days
beforehand, as section 12 requires.
Renewal
Subscriptions renew on the date you first paid, for the same period, until you cancel. You can cancel at any
time, in your account, and it takes effect at the end of the period you have paid for. We do not refund part
periods. The exception is simple: if you were charged because you forgot to cancel your trial, tell us within
14 days and we will refund it in full, as long as you have not sent a quote on the paid plan since the
charge. We will not ask you why. None of this affects any rights you have by law.
Price changes
We will give you at least 30 days' notice in writing before any price change, and you can cancel
before it takes effect. We will not change the price of a period you have already paid for, and we will not
change a founding member's price while their subscription runs without a break.
Late payment
If a payment fails, your subscription is marked as past due. While it is, the paid parts keep working, and
a notice that the payment has failed is shown to managers in the app and on the web dashboard. If the
subscription is then marked unpaid or cancelled, the paid parts stop. If the first payment after a free
trial fails, they stop straight away. The free parts and all of your data stay as they are.
7. Your data is yours
You own your job data. Your clients, your drawings, your measurements, your surveys, your photos,
your prices, your staff records. We claim no ownership of any of it.
You give us only the permission we need to run the service: to store it, back it up, process it and show it
to the people you have given access to. Nothing else.
We do not sell your data. We do not use it for advertising. We do not use your job data to train any
machine learning model. Where we look at how the service is used in order to improve it, we do that on
aggregated figures that cannot identify you, your business, your staff or your clients.
While your account is open you can export your data area by area: the jobs board (managers), each job's
takeoff and costs, your items, payroll, drawings, as-built records and the site diary. There is no single
export of the whole account.
8. What you must not do
- Use Acreline for anything unlawful, or to store anything unlawful.
- Upload special category data: health, biometric, racial or ethnic origin, political opinions, religion,
trade union membership, sex life or sexual orientation. Acreline is not built to hold it.
- Upload anyone's data without a lawful basis to do so. If you put your client's name, address and
photographs of their home into Acreline, you are responsible for having the right to.
- Share one login between people, or let anyone use an account who is not authorised.
- Try to break, probe or get around the service's security, or scrape it.
- Resell Acreline, or use it to provide a service to third parties, without our written agreement.
9. Keeping the service running
We will use commercially reasonable efforts to keep Acreline available, and we will give notice of planned
maintenance where we can. We do not offer a contractual uptime guarantee. We would rather tell you
that plainly than promise a number we depend on other people to hit.
We may suspend the service, in whole or in part, where we have to for security, for a legal reason, or
because of something you have done under section 8. We will tell you why, and we will restore it as soon as
the reason has gone.
Acreline needs a supported version of iOS. Where a new release stops supporting an older
operating system we will say so in advance.
10. Ending it
You can close your account at any time, in the app or from the deletion page on our website, except while
a workspace you own has other people in it or has a subscription that is still running.
Export first. Closing your account deletes your job data straight away, and it cannot be
undone. Work a member created stays with the business, and invoices you issued are kept for six years,
as the privacy policy explains.
Your job data includes your clients' and your staff's personal data, and you may have your own legal or
commercial reasons to keep it. Making sure you have what you need before you close is your responsibility.
We may end this agreement on 30 days' notice, or immediately if you are in serious breach of section 8.
If we end it for any reason other than your serious breach, you get 30 days to export and a refund of any
period you have paid for and not used.
11. Our liability
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for
fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited.
Subject to that, and because you are contracting as a business:
- We are not liable for loss of profit, loss of business, loss of contracts, loss of goodwill or loss of
anticipated savings, whether those losses are direct or indirect.
- We do not exclude liability for loss of your data. We take reasonable technical and
organisational measures to protect it and to restore it. You are responsible for taking your own exports.
Our liability for data loss sits inside the cap below rather than outside it.
- Our total liability in any twelve month period is capped at the greater of the fees you paid us in
the previous twelve months, or £500.
The floor of £500 is there deliberately, so that the cap is not nil for an account using only the free
tier.
12. Changes to these terms
We may change these terms. For any change that materially affects you, we will give you
at least 30 days' notice by email and in the app, and the date at the top will change. If you carry
on using Acreline after the change takes effect, you accept it. If you do not want to, you can close your
account and we will refund any period you have paid for and not used.
13. Law and disputes
These terms are governed by the law of England and Wales, and the courts of England and Wales have
exclusive jurisdiction. If you are in Scotland or Northern Ireland, that is still the position, and you
should read it knowing that.
If something has gone wrong, write to hello@acreline.co.uk first.
We would rather fix it than argue about it.
Version 1.0. Last updated 10 October 2026.
Acreline Ltd, company number 17308939, registered in England and Wales, registered office
2 Centrifuge Way, Farnborough GU14 6GF. Registered with the Information Commission under
number 00014707904. Contact privacy@acreline.co.uk.
1. The short version
We hold your account details so you can use Acreline, and we hold your job data because you put it there.
We do not sell anything to anyone, we run no advertising, and we do not train models on your work. Data is
held in Ireland. You can get a copy or have it deleted whenever you want.
The rest of this page is the detail that the law requires, and it is worth reading if you are the person in
your business who is responsible for data protection.
2. Who is responsible for what
This matters more than it sounds, because it decides who your clients complain to.
We are the controller for
- your account: your name, email, phone, business name, password and login records;
- your billing details and payment records;
- anything you send us in support.
You are the controller, and we are only your processor, for
- your clients' names, addresses, phone numbers and email addresses;
- site photographs, videos, notes and drawings, including anything or anyone they happen to capture;
- measurements, surveys and levels tied to a property;
- your staff's names, roles and pay rates;
- your suppliers, orders and invoices.
That means you decide why that data exists and what happens to it, and we only act on your
instructions. It also means that telling your clients and your staff how their data is used is your job, not
ours. The data processing agreement sets out what we commit to as your
processor, and it forms part of your contract with us.
3. What we collect, why, and on what basis
| What | Why, and the lawful basis |
| Name, email, phone, business name |
To create and run your account. Performance of a contract. |
| Password, session and login records |
To let you in and keep others out. Performance of a contract, and our
legitimate interest in keeping the service secure. |
| Billing details and payment records |
To take payment and keep the records HMRC requires. Performance of a contract, and a
legal obligation. Card details are handled by Stripe and never reach us. |
| Support correspondence |
To answer you. Legitimate interest. |
| Your phone's platform and app version |
Stored with your phone's notification token, so that notifications reach the right phone.
Legitimate interest in a working product. We collect no crash or performance data ourselves.
If an app update fails to start, the app sends the error from that launch to Expo, which delivers
app updates. |
| Location, while the app is open with GPS on |
To place a drawing on the ground, to measure, and to fetch the weather for the site.
Performance of a contract. With GPS switched on, the app follows your position while it is open,
on any screen, once you have opened Site. It never does when the app is closed or in the background.
Survey points and the points that pin a plan to the ground are saved against the job. A position rounded
to about a kilometre is sent to Open-Meteo for the weather. A plan, receipt or logo you upload is stored
as it was taken, including any location the camera wrote into it. |
We do not carry out any automated decision making that produces legal effects or similarly significantly
affects you, and we do not profile you.
Giving us your name, email and business details is a contractual requirement. Without them we cannot give
you an account.
4. Who we share it with
Only the suppliers we need to run the service, each under a written contract that stops them using it for
anything else:
| Who | What it receives | Where |
| Supabase | Hosting, the database, file storage and sign-in: everything you put into
Acreline. It also sends the sign-in emails. | Ireland |
| Fly.io | Runs our two servers. One reads the plans, photos, supplier invoices and costing
sheets you send it. The other serves the quote, variation and invoice pages your clients open, and
records the name a client types and their IP address. | London |
| Anthropic | Images of the plans, photos, supplier invoices and costing sheets you ask
Acreline to read, sent from our server. These can show names and addresses. | United States |
| Expo | Delivers app updates and notifications. Each time the app starts it receives the
app's install ID and version and your IP address, and after a failed update the error from that launch.
Notifications pass through it with their text, which can include people's names, job names and site
addresses. | United States |
| Stripe | Taking payment on our website. They handle card details; we never see
them. | Stripe Payments Europe, Limited, Ireland. Data may be processed by Stripe, LLC in the United
States. |
| Apple | Distributing the app, Sign in with Apple, delivering notifications, and turning
voice notes into text, which may send the recording to Apple. | Apple Distribution International
Limited, Ireland |
| MapTiler | Requests for map and aerial imagery, which show the area being viewed, so the
location of the job. | MapTiler AG, Unterägeri, Switzerland |
| Ordnance Survey | Requests for map imagery, which show the area being viewed, so the
location of the job. | Ordnance Survey Limited, Southampton, United Kingdom |
| Open-Meteo | A position rounded to about a kilometre, for the weather forecast. It deletes
its server logs after 90 days. | OpenMeteo GmbH, Bürglen, Switzerland |
| Netlify | Hosts acreline.co.uk, including the terms and privacy pages the app opens and the
links for joining a workspace. Its server logs include your IP address. Netlify publishes no period for
how long it keeps them. | Netlify, Inc., San Francisco, United States |
| Vercel | Hosts the web dashboard at app.acreline.co.uk. What you see and enter there passes
through it. | Vercel Inc., United States |
| unpkg and cdnjs | Supply the code for the app's map and PDF screens. Each time one of those
screens opens, they receive your IP address and device details. | cdnjs: Cloudflare, Inc.,
United States. unpkg: operator not established |
We keep a current list of these suppliers and we will tell you before we add one that handles personal
data. We will also disclose data where the law requires it, and to a buyer if the business is ever sold, in
which case we will tell you first.
We do not sell personal data, and we never will.
5. Where it is held, and transfers out of the UK
Your data is stored in Ireland, in Supabase's eu-west-1 region. The UK recognises the European
Economic Area as providing adequate protection, so no further safeguard is needed for that transfer.
Supabase's contracting company is based in Singapore, which does not have UK adequacy, and some
administrative and support access happens from outside the UK. That is a restricted transfer. It is covered
by the UK Addendum to the European Commission's standard contractual clauses, and we hold a
documented transfer risk assessment for it, which we will send you on request.
MapTiler and Open-Meteo are in Switzerland. The UK recognises Switzerland as providing adequate
protection, so no further safeguard is needed for those transfers.
Anthropic, Expo, Netlify and Vercel are in the United States. Anthropic relies on the UK Addendum to
the European Commission's standard contractual clauses, in the data processing addendum that its commercial
terms incorporate. Expo and Netlify rely on the UK Extension to the EU-U.S. Data Privacy Framework, which
each says it complies with. Vercel relies on the UK Extension to the EU-U.S. Data Privacy Framework, and its
data processing addendum also provides the UK's international data transfer addendum.
Apple's data for people in the UK is controlled by Apple Distribution International Limited in Ireland,
and Apple says its transfers out of the UK are governed by standard contractual clauses.
Stripe contracts through Stripe Payments Europe, Limited in Ireland. Data may be processed by Stripe, LLC
in the United States, which complies with the UK Extension to the EU-U.S. Data Privacy Framework. Stripe
does not say which mechanism it relies on for transfers from the UK.
Some screens in the app load mapping and PDF code from public code distribution networks. cdnjs is
operated by Cloudflare, Inc. in the United States, which complies with the UK Extension to the EU-U.S. Data
Privacy Framework. We could not establish who operates unpkg. Both receive the IP address and browser
details of anyone who opens those screens. This dependency is being removed in the next app release.
6. How long we keep it
| What | How long |
| Your job data | While your account is open. Deleted straight away when you delete your
account, except the work a member created, which stays with the business, and the invoices
below. |
| Invoices and credit notes you issued | Six years after the end of the tax year they
were issued in, because the law requires it, even if you delete your account. |
| Account and billing records | Six years after your last payment, because HMRC and the
Limitation Act 1980 require it. |
| Support correspondence | Two years. |
If you delete your account, we still keep the account and billing records and the invoices above for the
periods stated, because we are legally required to. Work a member created stays with the business.
Everything else is deleted straight away, except supplier invoice photos and your quote logo, which are
not yet removed from file storage.
7. Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict what we do with it, hand it
to another provider, or object to us processing it. Where we rely on consent you can withdraw it at any
time, and that does not affect anything done before you did.
Write to privacy@acreline.co.uk. We will respond
within one month. If a request is complex or there are several, we may take up to two further months,
and we will tell you within the first month if that happens. We will make a reasonable and proportionate
search. It costs you nothing unless a request is manifestly unfounded or excessive.
If the request concerns data you hold about your clients or staff, it should go to you rather than to
us, because you are the controller for that. If it reaches us we will pass it to you and help you answer it.
8. Security, and what happens if something goes wrong
Data is encrypted in transit and at rest. Access is limited to the people who need it. We keep records of
who has access and review them.
If there is a personal data breach that is likely to risk people's rights, we will report it to the
Information Commission within 72 hours of becoming aware of it, and we will tell affected people
without undue delay where the risk is high. Where the data is yours as controller, we will tell you
without undue delay so that you can decide what to report.
9. Children
Acreline is for businesses and account holders must be 18 or over. We do not knowingly collect data from
children. If you create a staff login for someone under 18, such as an apprentice, you are the controller for
their data and you should account for their age in how you use the service.
10. Complaints
If you think we have handled your data badly, tell us at
privacy@acreline.co.uk. We will acknowledge within
30 days and respond without undue delay.
You can also complain to the Information Commission, the UK's data protection regulator, which is
still known as the ICO, at ico.org.uk/make-a-complaint.
You do not have to come to us first, though we would like the chance.
Version 1.0. This forms part of the terms and applies automatically to every account. You do
not need to sign it separately.
1. What this is
When you put your clients' and your staff's personal data into Acreline, you are the controller and
we are your processor. Article 28 of the UK GDPR requires a written contract between us. This is it.
2. The processing
| Item | Detail |
| Subject matter | Providing the Acreline service to you. |
| Duration | For as long as your account is open, and after that only as section 8 says. |
| Nature and purpose | Storing, organising, displaying, backing up, transmitting and deleting
your job data so that you and the people you authorise can run your jobs. |
| Categories of data subject | Your clients and prospective clients; your employees,
subcontractors and casual workers; your suppliers' contacts; anyone incidentally captured in a site
photograph or video. |
| Types of personal data | Names; postal addresses; phone numbers; email addresses;
photographs and video of properties and of people; drawings and plans; measurements, levels and survey
data tied to a property; job notes; staff roles, pay rates and recorded working days; supplier orders
and invoices. |
| Special category data | None. Your terms forbid you from uploading it. |
3. What we commit to
- Instructions. We process your data only on your documented instructions, which include using the
service as it is built, unless UK law requires otherwise, in which case we will tell you unless the law
forbids that.
- Confidentiality. Everyone with access is under a duty of confidence.
- Security. We apply appropriate technical and organisational measures under Article 32, including
encryption in transit and at rest, access control, resilience, restoration and regular testing.
- Sub-processors. You give us general written authorisation to use the sub-processors listed in the
privacy policy. We will give you at least 30 days' notice before adding or replacing one, and you
may object on reasonable data protection grounds. Every sub-processor is bound by obligations equivalent
to these, and we remain responsible to you for what they do.
- Data subject rights. We will help you respond to requests from your clients and staff, including
by giving you the tools to find, export, correct and delete their data yourself.
- Assistance. We will help you, so far as is reasonable and taking account of what we know, with
security, breach notification, data protection impact assessments and any prior consultation with the
regulator.
- Breach. We will tell you without undue delay after becoming aware of a personal data
breach affecting your data, with enough detail for you to meet your own 72 hour duty.
- Deletion. At the end of the contract we will delete your data, as section 8 sets out, unless
UK law requires us to keep it. Before then you can export it area by area, as section 7 of the terms
describes. There is no export of the whole account yet.
- Audit. We will give you the information you need to show compliance. We will offer third party
reports and certifications first. If those are not enough, you may audit us on 30 days' notice, no more
than once a year, at your cost, subject to confidentiality, and without disrupting the service or seeing
another customer's data.
4. What you commit to
- That you have a lawful basis for every piece of personal data you put into Acreline.
- That you have told your clients and your staff how their data is used, as Articles 13 and 14 require.
- That your instructions to us do not put us in breach of data protection law.
- That you will not upload special category data.
- That you set each person's role and access correctly.
5. International transfers
Your data is stored in Ireland, in Supabase's eu-west-1 region. The UK recognises the European Economic
Area as providing adequate protection, so no further safeguard is needed for that transfer. Administrative
access by our hosting provider from outside the UK is covered by the UK Addendum to the European
Commission's standard contractual clauses, and we hold a documented transfer risk assessment. The other
transfers, and the safeguard each relies on, are set out in section 5 of the privacy policy. We will not
move your data to a new country without telling you.
6. Liability
Liability under this agreement is subject to the cap in section 11 of the terms, except where the law does
not allow it to be capped. Nothing here affects either of our obligations directly to a data subject under
Article 82.
7. Priority
If this agreement and the terms conflict on anything about personal data, this agreement wins.
8. When it ends
Your data is deleted from our live systems as soon as your account is deleted, and that cannot be
undone. Invoices and credit notes you issued are kept for six years after the end of the tax year they
were issued in, because the law requires it. Export what you need before you delete.
Version 1.0. Last updated 10 October 2026.
There is no banner, and that is deliberate
This site sets no advertising cookies, no remarketing tags, no conversion tracking and no session
recording. We do not use Google Analytics, a Meta pixel or a LinkedIn tag. Nothing here follows you to
another website.
There is nothing to ask you about. This site sets no cookies, it puts nothing in your browser's storage
(no local storage, no session storage, no IndexedDB), and nothing on it counts visits. Every page, picture
and font comes from acreline.co.uk; nothing is fetched from anyone else.
What is kept, and where
| What | Where, and why |
| On your device | Nothing. |
| Our host's server logs | Netlify, which hosts this site, keeps ordinary server logs of the
requests it serves. Each entry includes your IP address, the address of the page you asked for, the page
you came from and your browser. |
| Signed in session, on app.acreline.co.uk | Keeps you signed in. Strictly necessary. |
In the app
The Acreline app stores what it needs to work: your signed in session, your settings, and the drafts and
measurements held on your phone so that the app keeps working with no signal. It sets no advertising or
tracking identifiers, and it contains no advertising SDK.
If that ever changes
If we ever add anything that does need consent, you will get a proper consent banner with accept and reject
as equally easy choices, nothing will be switched on before you choose, and turning it off later will be as
easy as turning it on. We are not planning to.
You can do this without reinstalling the app.
Deleting your Acreline account
You can delete your account, either in the app or by asking us here.
Deletion is refused while a workspace you own has other people in it, or while it has a subscription that
is still running, including a free trial or one whose payment has failed. Hand the workspace over to
someone else, or wait until the subscription has ended.
In the app
- Open Acreline and go to the Today tab.
- Tap your initials at the top to open Settings.
- Under You, choose Delete my account.
- Type DELETE and choose Delete my account. If you own a workspace you also type its
name, and it is deleted with your account.
Without the app
Email privacy@acreline.co.uk from the address on your account,
with the words "delete my account". We will confirm, and delete within 30 days.
Export first
Deleting is immediate and cannot be undone. Your job data includes your clients' names and
addresses, your drawings, your measurements and your staff's records, and you may need to keep some of it
for your own tax or legal reasons. Export what you need before you delete.
What gets deleted
If you own a workspace with nobody else in it: the workspace and everything in it, which is jobs,
clients, drawings, plans, surveys, measurements, photos, notes, quotes, orders, invoices, variations,
build-ups, staff records and recorded days, apart from the issued invoices below. Your login. Your
settings. Supplier invoice photos and your quote logo are not yet removed from file storage.
If you are a member of someone else's workspace: your login, your name, phone number and photo,
and your place in the workspace. The jobs, quotes, costs, days worked and day rates, and the plans, surveys
and site photos you added, stay with the business, because they are its records.
Either way, everything Acreline keeps on the phone you delete from goes too, including videos, which are
only ever kept on the phone. It is all deleted straight away.
What we have to keep, and why
- Billing and payment records, for six years, because HMRC requires it.
- Invoices and credit notes you issued, for six years after the end of the tax year they were
issued in, because the law requires it.
- Anything we are required to keep by law, or to defend a legal claim.
Nothing in that list is used for any other purpose.
If you are on someone else's account
If your login was created by the business you work for, the account belongs to them, and they remove your
access. If you want your personal data removed, ask them first, and write to
privacy@acreline.co.uk if they will not act.
